Bookkeeping & Administration Manager

Position summary
Louisiana Crawfish Company is seeking a hands-on Bookkeeping & Administration Manager to take ownership of its daily financial and administrative work. This person will keep records accurate, bills and deadlines under control, and useful financial information in front of ownership.
The role supports both our e-commerce business and working crawfish farm. It is a position for someone who can handle transactions, spot discrepancies, improve processes, and follow an issue through to resolution.
Key responsibilities
Manage accounts payable: collect and review invoices, code expenses, prepare payments for approval, and maintain vendor records.
Track accounts receivable, deposits, and outstanding balances; follow up on discrepancies and overdue payments.
Maintain accurate records in QuickBooks Desktop and reconcile bank accounts, credit cards, and other key accounts.
Review freight invoices and other significant operating charges against agreed rates and supporting records.
Coordinate payroll administration with the company’s payroll provider, including time and payroll records, exceptions, and related documentation. Payroll is currently handled outside of QuickBooks.
Organize sales tax information, exemption certificates, licenses, permits, insurance documents, and recurring filing deadlines; coordinate with outside specialists as needed.
Maintain employee onboarding, PTO, and other routine administrative records.
Prepare monthly financial reports and a concise management scorecard covering cash, sales, expenses, payables, receivables, and notable variances.
Prepare organized records for the CPA and assist with month-end and year-end close.
Document recurring procedures, establish backup coverage, and improve the speed and reliability of financial reporting.
Decision-making and approvals
The manager owns the preparation, follow-through, and accuracy of routine finance and administration work.
Qualifications
Strong experience with bookkeeping, accounting operations, or finance administration in a growing business.
Proficiency with QuickBooks Desktop and Excel or comparable spreadsheet software.
Experience with reconciliations, accounts payable, financial reports, and coordination with an outside CPA.
Ability to manage confidential information, recurring deadlines, and a high volume of transactions with care.
Clear communication and the judgment to raise problems early.
Experience with e-commerce, agriculture, shipping, or seasonal operations is helpful.
What success looks like
Bills are prepared on time, accounts are reconciled, payroll information and compliance records are organized, and ownership receives dependable financial reports each month. CFO can focus on financial decisions and operations without having to personally manage the daily paperwork and follow-up.
